Real talk: if you’re scheduling a meeting without a clear agenda, action items, or a decision that needs to be made, you’re wasting everyone’s time.
Here’s my rule before I send any calendar invite:
✨ Is this just sharing information?
That’s an email or Teams message. Meetings are for discussion and decisions, not announcements.
✨ Who actually needs to be there?
If someone’s attendance is “optional” or they’re just listening, they don’t need to be there. Record it and send notes.
✨ Can this be solved in 15 minutes?
Then book 15 minutes, not an hour. Meetings expand to fill whatever time you give them. I do 25-minute meetings max.
✨ Did I send an agenda 24 hours in advance?
Not 10 minutes before. People need time to prepare or they’re just gonna nod while secretly doing other work.
✨ Can I end early if we’re done?
If you’re done in 20 minutes of a 30-minute meeting, END IT. Give people their time back. Don’t fill time just because it’s there.
